Information we may collect

We may hold your name, role, business name, professional contact details, enquiries and correspondence; information and materials you provide for a commission; research notes; contracts, invoices and payment records; and relevant professional information available from public sources.

Our hosting provider may also process limited technical information, such as an IP address, browser information and security logs, to deliver and protect this website.

Please do not send personal or sensitive information that is not necessary for the work. If a commission requires materially different processing, we will address that with you before it begins.

How and why we use it

We use personal information where it is necessary to:

• respond to enquiries and discuss a possible commission;
• enter into and perform an agreement with a client;
• research, prepare and deliver Quiet Orbit work;
• administer payments, accounts and business records;
• protect our systems and establish or defend legal rights;
• make proportionate, relevant contact with businesses that may benefit from our work.

Depending on the circumstances, our lawful basis is taking steps towards or performing a contract, complying with a legal obligation, or our legitimate interests in operating and developing Quiet Orbit. We consider those interests against the rights and expectations of the people involved.

Business outreach

We may use publicly available professional contact information to send carefully selected business-to-business correspondence. We do not buy indiscriminate mailing lists or send automated bulk campaigns.

You can ask us not to contact you again at any time. We will keep the minimum information needed to honour that request.

Cookies and this website

Quiet Orbit does not currently use advertising cookies, behavioural tracking or website analytics. Our hosting provider may use strictly necessary technologies to deliver the site, maintain security and prevent abuse. These cannot be switched off through a consent banner because they are required for the website to operate.

If we introduce non-essential cookies or analytics, we will update this notice and request consent where required.

Sharing and international processing

We share information only where necessary with trusted providers supporting website hosting, email, secure storage, productivity, accounting and professional advice, or where disclosure is required by law. We do not sell personal information.

Some providers may process information outside the UK. Where that happens, we use providers and safeguards intended to protect information in accordance with UK data-protection law.

How long we keep it

Enquiry and prospective-client correspondence is normally kept for up to two years. Client agreements, invoices and associated business records are normally kept for six years after the relevant financial year or engagement. Working materials are reviewed and removed when they are no longer needed, subject to legal, contractual and record-keeping requirements.

A minimal suppression record may be retained for as long as needed to make sure we respect a request not to receive further outreach.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your information; object to its use; or receive a portable copy. You always have the right to object to direct marketing.
